Administrative Assistant
Contract (2 year)
Summary of Position:
This new position will work with high profile leaders in a fast paced team environment to bring our Foundation mission to reality. Reporting to the Executive Director, George Brown College Foundation, the incumbent is responsible for performing administrative duties to support the Capital Campaign.
Duties:
• Responds to enquiries and direction on a range of issues on behalf of the Executive Director and the Campaign’s volunteer leadership in support of Campaign and Foundation activities, policies, operating procedures and services in an urgent and professional manner
• Refers inquiries on a range of issues to the appropriate area of the Foundation and/or George Brown College
• Required to research background information an all types of issues and inquiries related to fundraising and the Campaign
• Prepares a variety of correspondence such as letters, tables, reports, statistical charts and graphs on own initiative, based on knowledge of fundraising principles and guidelines
• Coordinates logistics and arrangements for meetings, including preparation of agendas, related background materials, minutes and follow up on action items
• Required to use tact, discretion and good judgment when relaying issues and information needs to senior Foundation and College management, the Foundation Board, staff, donors, and volunteers.
• Provides courteous and timely customer service to staff and external clients
• Represents the Executive Director in communicating decisions both internally and externally, orally and in writing on day-to-day operational issues and specific Campaign activities; liaises with senior Foundation and College management, the Foundation Board, staff, donors, and volunteers.
• Schedules and maintains preparation material, background and logistical support for internal and external appointments, meetings, travel arrangements, etc. as required.
• Develops, establishes and maintains information tracking systems, including manual and electronic schedules and filing and document control systems.
• Provides courteous, accurate and timely customer service to donors, volunteers, staff, students and external stakeholders and refers inquiries and an array of issues to the appropriate area of the Foundation.
• Maintains detailed knowledge of Foundation policies, procedures, Campaign activity, mandate, goals, and strategic direction to respond effectively to various stakeholders.
• Liaises with external partners, monitors budget, and handles event coordination including invitations, RSVPs, location bookings, catering, travel, technical support and package preparation
• Participates in projects and other work related to the Executive Director and Campaign Chair as assigned.
Qualifications:
• Three year diploma or degree from a recognized post secondary institution in business, office administration or non-profit administration is required. Additional certificates in a field directly related to fundraising are highly desirable.
• Minimum three years progressive experience in a related administrative, progressive position is required. Direct experience in a not-for-profit/fundraising organization is highly desirable.
• Advanced proficiency Microsoft Word, Excel, and PowerPoint is required. Familiarity with Raiser’s Edge is preferred.
• Excellent written and oral English communication skills; aptitude for detail and accuracy, and ability to maintain confidentiality of information, exhibit tact, diplomacy and good judgment.
• Ability to work under pressure with frequent interruptions while dealing with conflicting demands and distractions; ability to prioritize work and meet deadlines
• Excellent organizational skills relating to planning, record-keeping, maintaining and executing a timetable of activities, and meeting deadlines
• Excellent telephone manner and verbal communication skills
• Ability to take initiative, work independently and build strong working team relationships.

The Foundation requires proof of degrees, credentials or equivalencies from accredited regional or federal post secondary institutions and/or their foreign equivalents. Credentials may require validation at the time of interviews.
